How do large companies gain better control over their external resources – from procurement and costs to supplier governance and follow-up? At SAPSA IMPULS Stockholm on November 10, Scania and Implema will share insights from Project Jarvis and the rollout of SAP Fieldglass in Sweden. We spoke with Linnea Harrysson and Joacim Karlsson at Implema about the challenges, the business value, and the lessons learned along the way.
First, what’s the biggest challenge in governing external workforce in a large organization?
Joacim: – Creating a unified picture and shared governance when different parts of the organization engage consultants and other external workforce in different ways. It’s about knowing which external resources are active in the business, what they’re working on, and what they cost. But it’s also about making sure purchases follow agreements and guidelines.
At the same time, you need to find the right balance between shared processes and the different needs of each business area, in order to harmonize them within Fieldglass.
How can SAP Fieldglass contribute to better governance and control?
Joacim: – SAP Fieldglass makes it possible to bring together and manage external workforce on a single platform, covering both individual consultants through Contingent Labour and external service deliveries through what’s known as Statements of Work (SOW).
It gives you a clearer overview of resources, suppliers, and costs, and creates shared processes across the entire flow – from request and approval to follow-up and invoicing. It also reduces manual work and provides a stronger foundation for control and follow-up.
But the important thing is to start with the needs of the business. Technology should support clear goals, not be a goal in itself.
Why is change management such an important part of this type of project?
Linnea: – Because it’s not just about implementing a new system, it’s about changing how people work. In a large organization, many business areas, roles, and processes are affected, often under very different conditions.
That’s why it’s important to involve the business early, build understanding of the change, and embed new ways of working across organizational boundaries. A phased rollout also makes it possible to capture lessons learned and adjust ways of working along the way.
Ultimately, it’s about making the change work in practice and delivering the value you set out to achieve.
What will participants take away from your presentation together with Scania?
Linnea: – We’ll give an inside look at how Scania is working on the rollout of SAP Fieldglass within Project Jarvis, sharing experiences from phased rollout, cross-functional alignment, and change management. Not least, what it takes to make new ways of working succeed in practice within a large organization.
Joacim: – Yes, and how SAP Fieldglass can contribute to better governance and control over external workforce. We hope participants will walk away with practical lessons from Scania’s work that they can apply in their own organizations.
