For many organizations, this means higher costs—or, in the worst case, disruptions to operations. To meet this new reality, Implema is now launching an offering that gives you control of your licensing landscape. Here, Hampus Andersson explains what’s changing—and why many need to act faster than they think.

Hi Hampus Andersson—you’ve just launched a new offering related to Dynamics 365 licenses. Why now?

– Microsoft is changing how licenses in Dynamics 365 Finance & Supply Chain are validated. What previously, in practice, was more of an administrative matter is now something that’s actually governed by how the system is used in real life. It’s users’ roles—and what they actually have access to—that determines which license is required.

That means many organizations suddenly need to understand their licensing setup at a completely different level than before.

What does this mean in practice for companies running D365 today?

– For many, it means you get a clearer link between permissions and cost. If you’ve assigned broader access than is actually needed—which is quite common—it will show up immediately when validation is tightened.

This can lead to two things: either costs increase, or users risk being blocked if the licenses don’t match their actual access.

Why has this become such a big issue right now?

– Microsoft started rolling out the new license validation this January. The rollout is gradual and is triggered when each organization has its license or contract renewal. In other words, warnings and validation are activated at different times for different organizations. And for some, it can show up relatively soon—and suddenly.

At the same time, license management historically hasn’t been prioritized in this way. The focus has been on keeping the business running, not on optimizing roles and permissions in detail.

Now it suddenly becomes a business-critical issue, and many companies are probably unprepared.

You talk about both risk and cost. What’s the biggest risk if you don’t act?

– The biggest risk is probably underestimating how direct the link is between system design and licensing cost.

It’s not just about “having the right license,” but about how roles and so-called duties and privileges are set up. If it isn’t well thought through, it can both drive unnecessary costs and create operational issues.

In the worst case, users can lose access to functions they need in their day-to-day work. Then it quickly becomes a business issue, not an IT issue.

And that’s where your new offering comes in?

– Exactly. We’ve developed a D365 License Insight Workshop to help organizations get control before this becomes a problem.

It’s about creating a clear picture of the current state: what’s driving costs, where the risks are, and what you can actually do about it—without negatively impacting the business.

What do you get out of the workshop, specifically?

– Three things, mainly. First: an understanding of what’s actually driving licensing cost. Many are surprised when they see how much impact the role structure has.

Second: a clear picture of where the risks are, before they lead to disruptions.

And third: a concrete plan forward. Not just insights, but what you should actually do next week, next month, and over the longer term.

Who should act on this now?

– Any organization that uses Dynamics 365 Finance & Supply Chain and has grown over time.

If you’ve made multiple changes, added roles, or had different people setting up permissions over the years, then there’s almost always room for improvement.

And perhaps most importantly: this isn’t just an IT issue. It affects finance, governance, and how you actually use your ERP system.

If you were to sum it up, why is it important to address this now?

– Because what used to be “good to keep an eye on” is now critical for both cost and business continuity. It’s better to understand and adjust in time than to be caught off guard when validation kicks in.

Read more about the workshop here: D365 License Insight Workshop – Implema

As Microsoft tightens validation of licenses in Dynamics 365 Finance & Supply Chain, it’s no longer enough to be “roughly” compliant.
